Who can do this

Anyone in the workspace. Project settings and deletion are limited to owners and admins.

Before you start

  • Nothing. You can create a project on your first day.

Step by step

  1. 1

    Create a project

Open Projects and click New project. Name it after the client and the piece of work — "Acme rebrand" beats "Design". Pick a colour so it is recognisable in lists elsewhere.

  2. 2

    Add your first tasks

Click Add task in any column. A task needs a title; everything else can wait. Press Enter to add another immediately — it is faster to dump the whole list first and tidy afterwards.

  3. 3

Give each task an owner and a due date

Open a task and set the assignee and due date. A task with neither is the one that gets forgotten, and overdue work only surfaces on its own once it has a date.

  4. 4

    Break big tasks into subtasks

Inside a task, add subtasks for the steps. The task shows how many are done, so progress is visible without anyone having to ask.

  5. 5

    Move work across the board

Drag a card between columns as it progresses. Prefer a list? Switch to List view in the top right — it is the same tasks, sorted and scannable, and your place is kept.

  6. 6

Turn a message into a task

In Connect Hub, open the menu on any message and choose to make it a task. It arrives prefilled from the message and keeps a link back to the conversation, so the context survives.

  7. 7

Set milestones for the dates that matter

Add milestones for launch dates and client deadlines. Tasks stay the day-to-day; milestones are what you show a client.

Worth knowing

  • Labels and priority are for filtering, not decoration — only add them if you will actually filter by them.
  • Dependencies let you mark that one task waits on another, so a slipped date shows its knock-on effect.
  • Free and Teams plans include projects; Pro and Agency are unlimited.

Common questions

Can I see everything assigned to one person?

Yes. Filter the board or list by assignee, or open their profile to see their workload across projects.

What happens when I delete a project?

Its tasks go with it, so it asks first. If you only want it out of the way, archive it instead.

Do clients see the board?

No. Projects are internal. Share a client-facing view through a review link or a ticket instead.
